Who we are
The Solace Space is a sound healing practice in London run by Maryrose. We are the “controller” of the personal information described here, which means we decide how it is used and are responsible for looking after it.
Business name: The Solace Space
Email: [email protected]
What we collect
| When | What we collect |
|---|---|
| You book an event | Your name, email address, phone number if you give it, the tickets you bought and when, and whether each ticket has been checked in at the door. Your card details are handled by Stripe; we never see or store your full card number. |
| You tell us about access or health needs | Anything you choose to write in the optional access or health box, or tell us by email. See Health and access information. |
| You send an enquiry or message | Your name, email, phone number if you give it, and what you tell us in your message, such as dates, group size or location. |
| You join our mailing list | Your email address, when you signed up and that you agreed to hear from us. |
| You visit the website | Basic technical information our hosting provider records to keep the site running and secure, such as your IP address and browser type. We don’t use advertising or tracking cookies. |
Why we use it
UK data protection law asks us to explain our reason (our “lawful basis”) for each use:
- To run your booking: to take payment, send your tickets, check you in on the night, and contact you if anything changes. This is necessary to provide what you’ve booked (contract).
- To reply to enquiries and prepare proposals for private and corporate sessions (legitimate interests, or steps before a contract).
- To send our newsletter about new dates and gatherings, only if you’ve said yes (consent). Every email has an unsubscribe link.
- To keep financial records we are required to keep for tax purposes (legal obligation).
- To keep the website and booking system secure and working properly (legitimate interests).
Health and access information
Telling us about access needs or health conditions is always optional. If you do, it helps us make the evening safe and comfortable for you, for example by keeping a chair, a spot near the door or a quieter place for you.
Health information is a “special category” of data under UK law, so we only use it with your explicit consent, which you give by choosing to share it. We use it only to support you at the session, share it only with whoever is holding the session with us on the night where they need to know, and delete it after the event. You can ask us to delete it at any time.
Who we share it with
We never sell your information or share it for marketing. We use a small number of trusted services to run the website and bookings, and they only process your information on our instructions:
- Stripe: takes card payments and handles refunds.
- Cloudflare: hosts the website and stores booking records.
- Resend: sends your ticket and booking emails.
- Kit: sends our newsletter, if you’ve signed up.
Some of these providers may process information outside the UK, including in the United States. Where they do, they use protections approved under UK law, such as the UK International Data Transfer Agreement or the UK Extension to the EU–US Data Privacy Framework.
We may also share information if the law requires it.
How long we keep it
- Booking and payment records: six years, as required for tax records.
- Health and access notes: deleted within 30 days after the event.
- Enquiries and messages: up to two years, unless they lead to a booking.
- Mailing list: until you unsubscribe.
Your rights
You can ask us to:
- give you a copy of the information we hold about you
- correct anything that’s wrong
- delete your information, where we don’t need to keep it
- stop or limit how we use it, or object to a use based on our legitimate interests
- send your information to you or another organisation in a portable format
Where we rely on your consent (the newsletter and health notes), you can withdraw it at any time. Just email us. We’ll reply within one month.
If you’re unhappy with how we’ve handled your information, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner’s Office (ICO) at ico.org.uk or on 0303 123 1113.
Cookies and storage
We don’t use advertising, analytics or tracking cookies. The site saves a few small settings in your own browser so it works the way you’d expect, for example whether you’ve turned the sound on and whether you’ve already seen the opening screen. These never leave your device and aren’t used to identify you.
When you pay, you’re taken to Stripe’s secure checkout, which uses its own cookies to process payments and prevent fraud. Stripe’s privacy policy explains these.
Changes to this policy
If we change how we use your information, we’ll update this page and the date at the top. If the change is significant, we’ll let you know by email.
